With growing demand for our services, Aroha has expanded into the disability sector as a Registered NDIS Service Provider under Aroha Care Group in Perth. We are now seeking a Client Intake Officer to join our team. About the Role
Aroha Care Group is looking for an enthusiastic and well-organised Client Intake Officer to join our team for 6 months Contract – Full time.  In this key role, you will be the first point of contact for clients and referrers, playing an important part in delivering a positive experience and ensuring a smooth and efficient intake process.
  
Key Responsibilities

  • Receive, process, and triage new client referrals
  • Collect and accurately record clinical and demographic information, including diagnoses, risks, goals, and barriers
  • Coordinate initial appointments and support effective caseload allocation for clinicians
  • Prepare and manage intake documentation, including NDIS Service Agreements
  • Maintain accurate records in CRM and scheduling systems
  • Liaise with Clinical Managers to ensure appropriate referral allocation
  • Match clients with therapists based on clinical needs, goals, and location
  • Support the management of urgent or complex referrals
  • Build and maintain strong relationships with referrers and external stakeholders
  • Contribute to ongoing improvements in intake and scheduling processes

About You
You may come from a background in NDIS Support Coordination, allied health administration, medical reception, community services, or a similar field. You are highly organised, confident communicating with a wide range of people, and take pride in creating positive first impressions. You enjoy working as part of a team, can manage competing priorities, and value work that makes a genuine difference in people’s lives.
  
Desirable Experience and Attributes

  • Experience in an intake, administration, or support coordination role
  • Understanding of the NDIS, My Aged Care, or community health systems
  • Strong written and verbal communication skills
  • Excellent organisation, time management, and multitasking abilities
  • Confidence using CRM systems and Microsoft Office
  • High attention to detail with a proactive approach to improving processes
